Job Description

We are looking for a candidate that can fulfill a crucial role in our firm, ensuring the office runs smoothly by opening new accounts quickly and efficiently, managing money movement to/from clients, and assisting two financial advisers with client-related follow up tasks. Overseeing new business, transfers, money movement, and paperwork flow is a large part of the position. The applicant must be process and detail-oriented with the ability to work independently in a small, interactive, potentially virtual environment. The best candidates will possess strong communication skills and a commitment to lifelong learning.

Responsibilities (including but not limited to):

  • Learn and perform the client administration and service functions for our firm
  • Producing account paperwork for clients and partners, mastering money movement, and following the core processes in place
  • Answering call-ins and service requests (account login help, change of beneficiary, sending statements/tax forms, etc)
  • Schedule client and prospect meetings
  • Prepare forms and paperwork to open new client accounts
  • Ensure clients and firm partners follow through on outstanding to-dos. Proactively keeping advisors aware of incomplete or unresolved tasks
  • Maintain updated contact information and notes using firm’s CRM
  • Maintain organized client files, including copies of all signed applications and forms
  • Prepare, review, and send outgoing mail/email
  • Track all pending, outstanding paperwork, transfers, and weekly tasks
  • Manage contribution, distribution, and check requests

Required knowledge/skills/competencies

  •  3+ years of Financial Services experience preferred
  • Strong organizational and time management skills
  • A conscientious, friendly, motivated nature with strong communication skills
  • Ability to use and learn multiple technology platforms
  • Proficiency in the Microsoft suite, including Excel, Outlook, Word, etc.
