Staff Assistant

The Health Policy Research Center along with the Health Promotion and Resiliency Intervention Research Program, at the Mongan Institute, at Massachusetts General Hospital, is seeking a part-time Staff Assistant. This is a hybrid, 20-hour week position with a flexible schedule Monday-Friday between the hours of 8:00-5:00. The candidate must have a strong work ethic and exemplary interpersonal, organizational, and time-management skills in addition to strong oral and written communication skills. The candidate must demonstrate an understanding of and commitment to the mission of the Mongan Institute Health Policy Center and have an interest in public health.


  • Schedule meetings, functions, and appointments for multiple team members with complex calendars.
  • Coordinate and process weekly KRONOS timekeeping for department members.
  • Coordination of conference calls and meetings including materials prep, meeting minutes and distribution.
  • Responsible for weekly payroll
  • Organize department social events: ordering food, event set-up and take-down.
  • Assist with preparation of PowerPoint presentations and Word manuscripts.
  • Domestic and International travel arrangements.
  • Process expense reports, check requests, purchase orders, and reimbursements.
  • Arrange travel including air, ground and hotel and prepare expense reports to reimburse travel expenditures.
  • Coordinate maintenance for office equipment and computers.
  • Order office supplies.
  • Submit manuscripts to online journal review sites.
  • Manage confidential information.
  • Serve as a resource to help onboard new MGH employees with general MGH policies and procedures.
  • Respond to and resolve a variety of administrative inquiries and issues.
  • Scheduling and managing research consultations
  • Assist with mail – pick up /sorting/delivery, in collaboration with other administrative staff.
  • Provide cross coverage/support in collaboration with other administrative staff.  Occasionally may require sitting at the front desk to fill in for front desk Staff Assistant.
  • Serve as a resource for answering basic computer software questions (e.g., relating to WORD, Excel, PowerPoint, PDF)
  • Perform additional duties as needed



  • Prior administrative experience.
  • Strong computer skills with PC’s, Excel, Word, Powerpoint.
  • Strong interpersonal, communication and organizational skills.
  • Strong organizational, communication (oral and written), and problem-solving skills.
  • Strong English language skills (grammar and spelling).
  • Excellent telephone and in-person communication skills.
  • The ideal candidate is a self-starter who works well as a member of a team yet has ambition and drive to take on tasks independently. He/she must be able to handle and prioritize multiple tasks, have strong organizational skills and pay close attention to detail.
  • Willingness to make a 2-year commitment
  • Knowledge of PeopleSoft and Kronos Timekeeping a plus


  • BS/BA preferred
  • Interest in public health.
  • Knowledge of PeopleSoft and/or KRONOS timekeeping a plus.
