Office Manager & Client Services Coordinator

Full Time (32–40 hrs/week)
Our client, a well-established and forward-thinking insurance agency in the Greater Boston area, is seeking a proactive, organized, and service-oriented Office Manager & Client Services Coordinator to join their growing team. This role is a cornerstone of daily operations—ideal for someone who enjoys variety, takes pride in keeping things running smoothly, and genuinely enjoys helping people. No insurance license required, though it’s a plus.
What You’ll Do:
- Serve as the first point of contact—field inbound calls and greet walk-in clients
- Deliver outstanding customer service with professionalism and care
- Support licensed agents with client communications, billing, and coverage inquiries
- Prepare and send renewal mailings; assist with claim filings and mortgagee requests
- Maintain and update client records in the agency management system
- Manage office logistics including mail, scheduling, and supply orders
- Coordinate follow-ups via phone, email, and mail
- Help ensure smooth day-to-day office operations
- Opportunity to grow into technical insurance responsibilities and pursue licensing, if desired
What You Bring:
- Prior office or administrative experience (insurance background is a bonus, not required)
- College degree preferred
- Excellent communication skills—written, verbal, and phone-based
- High attention to detail and strong organizational skills
- Ability to multitask and prioritize in a busy environment
- A team player with a can-do attitude and a problem-solving mindset
- Proficiency with Microsoft Office/365; DocuSign experience a plus
- Eagerness to learn new systems and workflows
- Local to the Needham/Dedham area preferred
